Please note: The Bloomsday 2023 Terms and Conditions document will be updated/published in January, 2023 in accordance with Spokane Convention Center requirements provided to Bloomsday. Information below are those terms and conditions required for the 2023 Bloomsday Trade Show. Â
1. Contract
Each exhibitor will be required to sign a Bloomsday Trade Show 2023 Exhibitor Contract. After reserving booth space by returning the linked form with the full payment for the booths reserved, the Contract will be sent to the exhibitor for signature and return. All booth reservations are subject to the return of the signed Contract and proof of insurance as set forth in paragraph 6 below within ten (10) business days.
2. Cost
$850.00 per booth space prior to March 31, 2023 (plus an additional $50.00 if food or a beverage is distributed). Checks are to be made payable to the Lilac Bloomsday Association or by calling the Lilac Bloomsday office at (509) 838-1579 and paying by credit card. Limited booth space is available. First come, first served! After March 31st - - and subject to booth availability - - the cost will be $900.00. The booth fee is refundable if written notice of cancellation is received by the Lilac Bloomsday Association on or before March 1, 2023, less a $150.00 processing fee per booth. No refunds will be issued after March 1, 2023. Â
3. Booth Parameters
Booths are 10' X 10' and include a backdrop, side skirts, electricity (500 watts), one 8â X 2â table and one chair. Call LCD Exposition Services at (509) 325-9656 if additional equipment, storage, phone lines, etc is needed. For additional electrical needs, or for high speed internet connection, contact the Spokane Public Facilities District at (509) 279-7000. (All additions are at the exhibitor's expense.)
4. Set-Up/Tear-Down
Early set-up is recommended due to limited parking and congestion in the loading area of the Convention Center. Early set-up is available on Thursday, May 4th from 3:00 p.m. until 7:00 p.m. Opening day set-up must be done between 7:00 a.m. and 10:30 a.m. on Friday, May 5th. Loading dock doors will be locked at 10:30 a.m. Bloomsday Trade Show exhibits must remain open and staffed at all times until the end of the show at 6:45 p.m. on Saturday, May 6th. Tear-down may begin only after the public has exited the Convention Center.
5. Parking
Limited weekend parking will be available for a fee at the Convention Center garage. There are also several lots on nearby blocks where you can pay to park, as well as some long-term metered parking in the area. The Downtown Spokane Partnership has developed a map showing parking in the downtown area that you can view at http://www.downtownspokane.net/parking-where.
6. Indemnification and Proof of Insurance
Each exhibitor will be required to hold the Lilac Bloomsday Association, its agents, sponsors and volunteers, the City of Spokane, and the Spokane Public Facilities District harmless from any claims arising from its activities and to provide proof of insurance for its activities. Insurance must be obtained at the exhibitor's expense for bodily injury and property damage liability insurance written on an occurrence form with combined bodily injury and property damage limits in an amount no less than $1,000,000 per occurrence and $2,000,000 in the aggregate. Proof of insurance is to be provided to the Lilac Bloomsday Association along with the signed Bloomsday Trade Show 2023 Exhibitor Contract as set forth in paragraph 1 above.
7. Sample Distribution
Product literature and product samples may be distributed from exhibitor booths. Food samples may not exceed one (1) ounce and beverage samples may not exceed two (2) fluid ounces. (These sampling restrictions do not apply to Bloomsday Major Sponsors.) There is an additional charge of $50.00 for exhibitors providing food or beverage samples. Food and beverage samples must be approved by the Spokane County Health District at 509-324-1560 Ext. 2 (by April 15 to avoid late fee). No exhibitors may stand in or utilize aisles or lobby areas for the sale or distribution of product, literature or samples. The Lilac Bloomsday Association also requires exhibitors to use compostable cups, plates, utensils and/or packaging for product sampling.
8. Compliance with Laws
Each exhibitor will agree to comply with all applicable federal, state and local laws, ordinances, rules and regulations including all fire codes, health regulations, and COVID-19 requirements. Any use of tents or awnings is prohibited due to fire regulations, unless written permission is secured from the Spokane Fire Department prior to move-in.
9. Courtesy
Exhibitors are expected to respect the rights of other exhibitors. Exhibitors are required to stay within the boundaries of the booth, and may not use aisles or utilize space over dividing walls into another exhibitor's area for any purpose, including demonstrating equipment or gear outside the booth. Bloomsday has the right to prohibit signs, lights, sounds, smells or activities that interfere with other exhibitors. In addition, because wheels of chance (spinning wheels) generate lines that may block other booths, written permission to use these wheels must be secured from the Lilac Bloomsday Association prior to the Bloomsday Trade Show.
10. Refusal of Space
The Lilac Bloomsday Association reserves the right to deny Bloomsday Trade Show booth space to any exhibitor whose products, services or other use of booth space is not, in the Lilac Bloomsday Association's sole opinion and judgment, fundamentally related to running, health, fitness or community service, or which is not in keeping with the family oriented nature of Bloomsday.
